Job Description

We are seeking a detail-oriented and motivated Contracts Administrator to support the Sales Team and contracts department in Cerritos. In this role, you will support the Sales organization by coordinating the customer pricing, cost sheets, purchase order confirmations, and contract documentation. Your work will directly contribute to accurate pricing execution and smooth sales operations. (This is an administrative position supporting the Sales Team.)

Key Responsibilities

Pricing & Cost Sheet Administration

  • Update and maintain customer price lists based on approved pricing.

  • Manage customer cost sheets and perform basic cost and margin calculations to ensure accuracy.

  • Review contract margins for completeness and flag discrepancies as needed.

  • Ensure pricing data aligns with approved contracts and documentation.

Contracts & Documentation

  • Maintain organized records of customer contracts, pricing agreements, and amendments.

  • Track contract revisions, pricing updates, and expiration dates.

  • Confirm required documentation is complete prior to order processing.

  • Ensure records are accurate, audit-ready, and properly filed.

Purchase Order (PO) Review

  • Review and validate customer purchase orders against approved pricing and contract terms.

  • Identify discrepancies related to pricing, margins, or documentation and escalate appropriately.

  • Support Sales with PO confirmations, updates, and documentation requests.

Cross-Functional Support

  • Collaborate with Sales, Finance, Operations, and Customer Service to ensure pricing accuracy and order execution.

  • Respond to routine inquiries related to pricing setup, cost sheets, and contract documentation.

  • Escalate complex or non-standard issues to the Manager, Contracts & Pricing.

Qualifications

Experience

  • 1–3 years of experience in sales administration, pricing support, contracts administration, or a related field.

  • Experience maintaining pricing data, cost sheets, or customer documentation preferred.

  • Experience supporting sales or order processing functions is a plus.

Skills & Competencies

  • Strong foundational math skills, including margin and cost calculations.

  • Proficiency in Microsoft Excel (formulas, spreadsheets, lookups).

  • Proficiency in Microsoft Office (Outlook, Word).

  • High attention to detail and strong organizational skills.

  • Ability to follow structured processes and approval workflows.

Preferred Qualifications

  • Experience with ERP or CRM systems.

  • Background in food manufacturing, distribution, or CPG industries.

  • Bilingual (English/Spanish) is a plus.
