Job Summary

We are seeking a full-time Administrative Assistant for a direct hire opportunity in Irvine, CA. This in-office role is an excellent opportunity for an organized, energetic, and detail-oriented professional who enjoys being at the center of daily office operations while supporting multiple departments.

The Administrative Assistant will sit at the front desk and provide support to Ownership, Management, Service, and Sales teams in a collaborative and professional office environment. This is a strong entry-level career-building opportunity for someone interested in developing long-term experience in the commercial insurance industry.

This role offers a positive team environment, supportive leadership, exposure to multiple areas of the business, and the opportunity to learn valuable administrative, customer service, and insurance office operations skills. Key Responsibilities

- Answer, screen, and transfer incoming phone calls while providing professional front desk support.
- Process incoming and outgoing mail, perform electronic filing, complete data entry, and maintain accurate records.
- Update information in the agency management system and assist with administrative workflow across departments.
- Contact customers regarding billing-related matters and provide courteous follow-up support.
- Prepare insurance policies for delivery and ensure documents are handled accurately and efficiently.
- Follow company policies, procedures, and compliance requirements in daily administrative tasks.

Compensation and Benefits

- Salary range: $45,000 to $55,000 per year.
- Direct hire opportunity.
- Full-time schedule, Monday through Friday, 8:30 AM to 5:30 PM.
- In-office position located in Irvine, CA.

Required Qualifications and Skills

- Provide front desk administrative support for Ownership, Management, Service, and Sales departments.
- Manage phone coverage, mail processing, electronic filing, data entry, and document preparation.
- Update agency management system records and assist with customer billing communication.
- Support accurate policy preparation and compliance with office procedures.

- 3 to 5 years of administrative, clerical, office support, or related professional experience preferred.
- Strong multitasking, organization, and follow-through skills.
- Clear, professional, and courteous phone communication skills.
- Intermediate proficiency with Microsoft Office.
- Minimum typing speed of 60 WPM.
- High attention to detail and accuracy in data entry, filing, and documentation.
- Energetic, dependable, and eager to learn in a professional office setting.
- Ability to work full-time in-office, Monday through Friday.
- Willingness to complete a clerical assessment before hire.

Preferred Qualifications

- Interest in building a career in the commercial insurance industry.
- Experience using office databases, agency management systems, or customer record systems.
- Prior front desk, receptionist, administrative assistant, or customer service experience in a professional office environment. 
- Bilingual Spanish
